Privacy Policy

Scope

This Privacy Policy explains how Khy Collective handles information through its websites, products, and services, including the GroomBuddy Android app.

GroomBuddy is local-first

GroomBuddy does not require an account. Clients, pets, services, appointments, business settings, revenue records, and app-managed pet photos are stored in app-private storage on the user's device. Android system backup is disabled for GroomBuddy.

Data leaves the device only when needed for sign-in, a user-requested cloud feature, Google Play subscription management, or a support request.

Information we may process

  • Account information: email address, Firebase user ID, and sign-in provider when a user creates or uses an optional account.
  • Business and customer records: client and pet names, contact details, notes, services, appointments, discounts, tips, payment status, Business Profile details, and revenue goals entered by the user.
  • Pet photos: photos selected by the user and copied into GroomBuddy's app-controlled storage.
  • Online booking requests: client and pet names, phone number or email address, requested date and time, selected services, and notes submitted through an enabled groomer booking page.
  • Subscription information: GroomBuddy Premium product and entitlement status supplied by Google Play. Khy Collective does not receive or store payment card details.
  • Support information: messages, screenshots, device details, and other information a user chooses to send when requesting help.
  • Website request information: standard technical request data that may be processed by our hosting provider for delivery, reliability, and security.

Optional cloud features

A signed-in user may explicitly create a Cloud Backup containing clients, pets, contact details, notes, services, appointments, Business Profile information, revenue goals, and eligible pet photos.

GroomBuddy Premium users may separately enable cross-device sync and tap Sync Now to share clients, pets, services, and appointments between signed-in devices. Cross-device sync is foreground and user-started. GroomBuddy does not schedule background data or photo synchronization.

A signed-in groomer may enable a public booking-request page. A client who uses that page sends the request to the groomer's private GroomBuddy inbox. The submission is a request only and does not automatically create or confirm an appointment.

How information is used

  • Provide account creation, sign-in, password reset, and deletion.
  • Operate local scheduling, customer, pet, service, and revenue tools.
  • Provide user-requested cloud backup, restore, and synchronization.
  • Deliver and manage client appointment requests for a groomer.
  • Confirm, restore, and manage GroomBuddy Premium access.
  • Deliver appointment reminders requested by the user.
  • Respond to support requests and maintain service security.

Service providers

  • Google Firebase: Authentication, Cloud Firestore, Cloud Functions, and Cloud Storage for optional account, booking request, backup, photo, and sync features.
  • Google Play: app distribution and GroomBuddy Premium subscription processing.
  • Vercel: hosting and delivery of the Khy Collective website.

These providers process information under their own terms and privacy policies. GroomBuddy does not include advertising, Firebase Analytics, Crashlytics, or third-party marketing SDKs. Khy Collective does not sell personal information or share it for targeted advertising.

Permissions and device access

GroomBuddy may use internet access for optional account/cloud features and Google Play Billing; notifications, exact alarms, and restart events for appointment reminders; and the Android photo picker for user-selected pet photos. Call and text actions open the system dialer or messaging app and do not silently place calls or send messages.

GroomBuddy does not request location, microphone, contacts, or broad photo-library access.

Retention and deletion

  • Local data remains until the user chooses Delete All Data or removes GroomBuddy from the device.
  • A Cloud Backup remains until it is replaced, deleted, or the account is deleted.
  • Cross-device sync records remain until the GroomBuddy account is deleted.
  • Online booking settings and requests remain until the groomer deletes the GroomBuddy account. A person who submitted a request may contact the groomer or Khy Collective about that submission.
  • Deleting a GroomBuddy account removes its Cloud Backup, backed-up pet photos, cross-device sync data, online booking settings and requests, and Firebase Authentication account.
  • Account deletion intentionally leaves local business data on the current device. Delete All Data removes those local records.
  • Google Play may retain purchase records under Google's policies.

Security

GroomBuddy uses app-private local storage, encrypted network transport, and authenticated owner-scoped cloud paths. No method of storage or transmission is completely secure, but we use reasonable safeguards appropriate to the information and features provided.

Children's privacy

Khy Collective services are intended for business users and are not directed to children under 13. Contact us if you believe a child has provided personal information so we can review the request.

Changes to this policy

We may update this Privacy Policy as products, legal requirements, and services evolve. The revised date will be posted on this page.
